We are hiring an Executive Assistant / Chief of Staff for a CPA firm in the accounting industry. This is a full-time remote role for a USA-based company. This role is ideal for a highly organized, proactive professional who can operate as the business owner’s right-hand, managing day-to-day tasks while also supporting strategic projects. The ideal candidate thrives in a fast-paced environment, communicates clearly, and takes ownership with minimal oversight.
 
Key Responsibilities:
- Manage and organize executive’s calendar, scheduling meetings, and coordinating appointments.
 
- Handle daily email management, ensuring prompt responses and follow-ups.
 
- Maintain and update internal SOPs and ensure operational processes remain efficient.
 
- Coordinate travel, reservations, and other personal or business arrangements.
 
- Support project execution and ensure deadlines are met.
 
- Act as a communication bridge between the executive and internal/external stakeholders.
 
- Prepare reports, presentations, and documentation as needed.
 
- Assist with administrative tasks to ensure smooth business operations.
 
 
Required Qualifications:
- Minimum 3–5 years of experience as an Executive Assistant, Personal Assistant, or similar role.
 
- Prior experience working with executives in CPA, finance, or professional services preferred.
 
- Strong organizational, time management, and prioritization skills.
 
- Excellent written and verbal communication in fluent English.
 
- Demonstrated ability to work independently and take initiative.
 
 
Preferred Qualifications:
- Experience in CPA firms, accounting practices, or financial services.
 
- Exposure to U.S.-based clients and familiarity with U.S. business culture.
 
- Ability to manage both administrative and higher-level operational tasks (Chief of Staff capacity).
 
- Previous remote work experience with international teams.
 
 
Required Skills & Tools:
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
 
- Familiarity with Google Workspace (Docs, Sheets, Calendar, Drive).
 
- Experience with project management tools (Asana, Trello, or similar).
 
- Strong knowledge of Zoom or other video conferencing platforms.
 
- Familiarity with CPA/accounting practice management software, especially Canopy.
 
- Bonus: Knowledge of QuickBooks, Xero, or other accounting platforms.
 
 
Schedule & Pay:
- Full-time position; U.S. Pacific hours (PST) 
 
- This is a fully remote job for a California-based company.
 
- Pay is $15 USD per hour.
 
- Annual raises, performance bonuses, and paid holidays/PTO provided.
