Vodacom's No 1 Retail Franchisee (10 Retail stores in KZN and 2 in Sandton, Gauteng) is looking for a dynamic HR Admin Manager with exceptional people skills to own the Human Resources Department at their Head Offices situated in Montclair (south of Durban). You will act as the first point of contact for all HR-related matters for all employees (+/- 250 and growing)
+/- 175 Retail employees over 12 Retail stores
20 Head office staff
10 Call Center staff (opening soon)
10 Enterprise business unit (opening Q1 2024)
15 Fibre Sales agents (opening soon)
5 online sales and support team (Opening soon)
Store within a store concept within national Chain 60 stores (120employees) opening early 2024
As a small business established in 1996 which has grown into 12 branches, the group is looking for an experienced, talented HR Admin Manager who can streamline, perfect and formalize policies and take ownership of the HR department. The ideal candidate must be self disciplined and have experience with HR procedures, KPIs and Sop. Multitasking and decision making are key requirements in this position.
Ultimately, you should be able to ensure our HR department supports our employees while conforming to labor laws.
Responsibilities:
Onboarding and exits: Ensuring compliance of screening process followed. Documents for onboarding which includes letters of appointment, supporting documents to create, explain and sign off Employee contracts with KPI requirements. Ensuring successful loading of new employee on payroll. Provisioning access to various systems, activating and managing all benefits, probations, resignations and exit interviews.
Time management: Managing the TracTech biometrics clocking system, Staff rostering, ESS leave applications, Mobile staff movements and telephone systems. Building and maintaining a robust time management process to ensure best staff productivity.
Equipment and uniforms :Building asset/tools register policy to manage equipment. Ensuring all equipment maintenance, replacement, usage and abuse managed weekly and monthly. Managing and maintaining of all staff Uniforms and badges ie stock levels, ordering, invoicing and deductions.
Policies and Standard operating procedures.
Having strong knowledge on documenting standard operating procedures as well managing KPIs and policies
Systems Access- Managing access to various systems, emails, WIFI, desk and mobile phones, copiers, gates and any other equipment. Building policy and managing this with weekly usage reports and managing abuse against policy.
General Admin - Building and managing of policies and procedures to ensure the entire end to end onboarding, retention of staff and exits is seamless. Skills Development plan, succession plan, incentives and staff welfare is managed. Filing and archiving of all Human Resources documents. Managing of loans and staff benefits (RA and medical aid). Creating all staff development and communication groups and deleting on exit.
Compliance - Ensuring the group is compliant to all labor laws, health and safety rules at all times. Attending to all audits from relevant departments
Team Building and staff welfare - Managing all team building and staff events, year end functions. Managing staff Birthdays messages, sick, maternity/paternity leave, religious days, special days and anniversaries
Disciplinary- Managing and maintaining the best discipline across all areas of Human Resources which include building policy and procedures. Attending to all disciplinary procedures (warnings/suspensions/hearings and CCMA cases)
Mission - Building and maintaining a 1 TEAM spirit and high retentions of staff culture across the group.
Desired experience & Qualification
Proven work experience as HR Admin Manager or relevant role as per above so that you can improve and implement strong HR systems and processes
Experience with HR software (eg Sage ESS, TracTec biometric management system, ITC) etc
Computer literacy (Advanced Excel, Power point, Outlook etc )
Thorough knowledge of Labor law
Excellent organizational skills with an ability to prioritize important projects
Strong telephone, email and in person communication skills
BS in Human resources or relevant field
Teamwork and coaching skills
Familiarity with social media, resume’ data base and networks
Excellent verbal and written communications skills
Ability to learn and have understanding of the differences between various roles within Organization
Honest and Trustworthy and willing to go the extra mile
Experience in Retail Time management and rostering
Tenacious/ persistent personality
Package & Remuneration
Basic Salary: R15000-to R25000 per month. Salary negotiable based on experience
RA of 10% of salary after 1 year service
Monday to Friday: 7.30am to 5.15pm
Saturday: 8am to 1.30 pm (alternate Saturdays after 1 year of employment )
Must be flexible and prepared to work overtime in the first 6 months
Standard leave rules apply
Must have own vehicle
