At Assist World, we specialize in providing highly trained Virtual Assistants to businesses across the globe.

 

A client is seeking Executive Personal Assistant, who has MAC laptop or desktop setup.

 

Your Role

You’ll be the right hand, a proactive, resourceful EA/PA who keeps work and home running, even on wild days. This is a high-trust, high-initiative role: you’ll spot and solve problems, “parent the process,” and be a daily support for both the person and her family.

 

Core Responsibilities

Business/Admin:

  • Manage calendar (using Skylight, Google, etc.) and inbox; schedule meetings, prioritize and handle reminders, all via Mac-friendly workflows.
  • Coordinate meetings (Zoom/Google Meet), confirm attendance, manage follow-ups, and handle any time zone issues.
  • Book appointments (professional, personal, family) and online errands (doctor, cleaner, etc.).
  • Arrange travel (via Mac-friendly tools): research, bookings, itineraries.
  • Respond to/draft emails and DMs; manage LinkedIn/social inbox as needed.
  • Digital file management: organize and clean up documents, photos, and digital workspace (Google Drive, iCloud, Dropbox, etc—NOT Notion).
  • Project/task tracking: maintain checklists, nudge stakeholders, keep everyone on track.
  • Research (vendors, contacts, event prep, health info) and prep docs for meetings or talks.
  • Light writing/proofing: notes, follow-ups, internal docs.

 

Family/Personal:

  • Daily engagement with family members: assign/check-in on tasks, coordinate schedules, reminders, and help everyone stay organized.
  • Regular communication with owners spouse and (as needed) children, always with warmth, professionalism and sensitivity to family dynamics.

 

Health/Wellness Accountability:

  • Cheerfully remind the client of self-care routines (vitamins, exercise, appointments, etc.).
  • Serve as a steady, nonjudgmental “check-in” when energy is low.

 

Who You Are

  • Proactive, warm, and action-oriented: You see what needs to be done and just do it.
  • Strong preference for candidates with experience supporting U.S. healthcare organizations or professionals—you understand the language, nuance, and unique demands of the industry.
  • Familiarity with HIPAA and best practices for privacy/confidentiality in health settings is highly valued.
  • Experience supporting female founders, busy parents, or execs (especially in multicultural settings) strongly preferred.
  • Excited to engage daily with a family and to help them, as a unit, thrive.
  • Mac user (required/preferred)—comfortable with MacOS, Google Suite, Skylight calendar, and open to learning new tools as needed.
  • Tech- and AI-friendly; quick to adopt/work with new digital tools (including Motion, Google Calendar, etc).
  • Highly organized, detail-oriented, and able to “close the loop.”
  • Fluent written and spoken (American) English with a strong grasp of idioms. Bonus points if you know AP style (and have an affinity for Oxford commas).
  • Discreet, culturally curious, and enjoys cross-cultural work and learning.
  • Not intimidated by ambiguity or fast decision-making; you create structure and order.
  • Problem-solver—comfortable raising your hand with solutions, not just issues.
  • At least part of your day overlaps with Pacific Time (absolute must).
